How we use your information
If you apply for contents insurance with our third party provider (Aviva Insurance Limited) we will use your personal information provided in the contents insurance application form to administer your insurance policy. We will either keep your application form on behalf of Aviva Insurance Limited or pass it on to them.
This information will also be used to comply with money laundering and fraud prevention regulations.
Aon UK Limited (the Broker) will audit the application forms. The audit involves checking a sample of application forms against our tenant records and the insurance schedule records to ensure accuracy.
Where requested we will use your contact details to send out claims forms.
How long we keep your information for
The contents insurance application forms will be kept as long as you have an insurance policy with Aviva Insurance Limited and for a further 6 years after the policy has ended.
If for any reason you do not take out an insurance policy, we will delete your application form.
Your rights
You have rights in relation to your data, including the right to ask for a copy of it. See the Your data page for more information about all the rights you have, as well as the contact details for the Council’s Data Protection Officer. You also have the right to make a complaint to the Information Commissioner's Office if you think we haven’t handled your data properly.
Our legal basis
Wherever the Council processes personal data, we need to make sure we have a legal basis for doing so in data protection law. The Council considers facilitating contents insurance for tenants to be part of our public task under Article 6(1)(e) of the General Data Protection Regulation.
