How we use your information

If you provide feedback to the Council, it’s your choice whether or not you want to leave your name and contact details, but we won’t be able to respond to your feedback if you don’t leave your name and a way to contact you. If you choose to leave your name and contact details, we don’t use your personal data for any other purpose than to respond to you about your feedback. 

From time to time, we receive enquiries or feedback meant for other organisations. In certain circumstances we may ask you if you’re happy for us to pass your details directly to another organisation, so they can respond to you about your enquiry or feedback. 

If you choose to register to participate in opportunities to provide feedback on our services, we may use your contact details to invite you to test access to our services or focus groups on proposed changes to services.  You can change your mind at any time, and if you decide you no longer want to be contacted for feedback, let us know by emailing us at CustomerFeedback@aberdeencity.gov.uk.

The registration form also asks questions about you. This information is voluntary.  By providing this information you help us to monitor the statistical data to ensure the Council is interacting in a balanced way with groups of people with protected characteristics as defined by the Equality Act 2010.  The information will be used to assess the likely impact of the proposals on different groups of people with protected characteristics, and an anonymised summary of this may be shared with Councillors.
 

How long we keep your information for

We keep customer feedback for the current year, plus two years, from the date that your feedback was received. If you’ve asked for a response from us, then we’ll keep your feedback for the current year, plus two years from the date of our response to you. We keep anonymised customer feedback for a longer period of time, so we can understand trends in the type and nature of feedback we receive and use this to improve our services (this means your data isn’t kept).

If you have registered to participate in opportunities to provide your feedback on our services, we will keep your details for the current year, plus up to two years unless you decided you no longer wish to have your details held for this purpose.  We won’t share your data with anyone else.

Your rights

You have rights in relation to your data, including the right to ask for a copy of it. See the Your data page for more information about all the rights you have, as well as the contact details for the Council’s Data Protection Officer. You also have the right to make a complaint to the Information Commissioner's Office if you think we haven’t handled your data properly.

Our legal basis

Aberdeen City Council is the Data Controller for this information. Wherever the Council processes personal data, we need to make sure we have a legal basis for doing so in data protection law. The Council understand our legal basis for processing your personal data as part of our public task, in accordance with our best value duty to continuously improve.

In carrying out this task, the Council is also likely to process special categories of personal data, should you choose to provide equality and diversity information. The Council understands our legal basis for doing so as it is necessary for reasons of substantial public interest, of the purpose of equality monitoring.
