Booking of Educational Venues

Aberdeen City Council will be launching bookings for 26 April 2021 to 15 August from 21 April 11am through our online booking system.

Currently we are not in a position to extend the availability of our venues and a further update on indoor lets will be provided before the end of June.

We will be offering a priority booking window for those customers who previously booked with us for the October-December session running from 21 April – 3 May. The booking window will then be extended to all other customers from 4 May 2021. 

Due to the current Scottish Government guidance we are only accepting bookings for outdoor venues and for organised sports clubs only for the following: 

  • Organised outdoor contact sport and physical activity for children and young people under 18 provided that guidance from the Scottish Governing Body for that sport is followed.  
  • Adult (18+) outdoor non-contact sport and physical activity provided that guidance from the Scottish Governing Body for that sport is followed.

In order to make a successful booking, sports clubs will be required first to register for an account on the Council’s online booking system, and to submit evidence of their affiliation with the appropriate national governing body of sport (such as a copy of an affiliation certificate or email confirming the club’s membership), along with a copy of their club constitution, and evidence that the club holds valid public liability insurance. This is to ensure that the facility to be hired will be used only for “organised sporting activity”, as per the national guidance, and that the requirements for safe participation in sport, including the expectation that clubs will appoint a Covid officer for example, will be fully complied with. 

Venues and times available are limited and can be viewed on the online booking system.  

The hiring of 3G artificial pitches at Cults Academy, Dyce Academy, Lochside Academy and Northfield Academy is managed by Sport Aberdeen and not Aberdeen City Council. Sport Aberdeen are making arrangements for these facilities to be reopened for sports clubs to hire, and details of planned reopening dates and booking arrangements will be available from the Sport Aberdeen website

Any hires will be restricted to the use of the outdoor pitches only at these sites, with no access permitted to changing rooms or toilets or any other part of a school or pavilion, in order to ensure we are adhering to the guidance on limiting public access to school buildings. Clubs are therefore asked to take this into account when making bookings, especially where participants are younger children, given that they will not have access to a toilet for the duration of the session. The length of the session should therefore be kept to a minimum, to avoid participants having to wait too long before being able to use a toilet. 

The reinstatement of outdoor lets will continue to remain under review, and in line with any updates to national guidance on outdoor sports and/or access to school facilities, the above arrangements may require to be changed or suspended at short notice.

*The Community Reduced Rate and Community Concession Rate apply only to the hire of selected spaces by not-for-profit groups providing activities likely to contribute to the Council’s Local Improvement Plan outcomes. The Standard Rate will apply to all other hires. 

Groups eligible for concession: children under 16, students, over 60s, disability groups, Access to Leisure members. All participants (excluding any group leaders) must be eligible for a concession in order for the discount to apply. 

Sports clubs with ClubSport membership are entitled to a further 10% discount (Clubsport Level 1) or 20% discount (ClubSport Level 2) on the rates shown, for the hire of spaces in schools and community learning centres. 

Customers will be asked to provide appropriate evidence to demonstrate that they are eligible for a reduced rate or concession rate prior to the booking being confirmed.

Prior to submitting a booking, customers are requested to register via the online booking system:

Once registered you will receive an email instructing you to upload any relevant documents into ‘Your documents' section. Please submit evidence of your club’s affiliation with the appropriate national governing body of sport (such as a copy of an affiliation certificate or email confirming the club’s membership), along with a copy of your club constitution, and evidence that the club holds valid public liability insurance. This is to ensure that the facility to be hired will be used only for “organised sporting activity”, as per the national guidance. 

The following documents are required to be submitted, in order to demonstrate that the sports club is properly constituted and affiliated to a national sporting governing body: 

  • A copy of an affiliation certificate, or email confirming the club’s membership of a national sporting governing body (which includes the club’s membership reference number or similar) 
  • A copy of the club’s Constitution 
  • A copy of the club’s valid public liability insurance certificate 

Bookings for 26 April - 15 August will be available from 11am on 21 April 2021.

At this time we are continuing to adhere to Government advice on restricting public access to school buildings, and will not be reinstating indoor lets. A further update will be provided before the end of June. 

Yes, refunds will be issued and usually take 3-5days to go back onto the original payment method. For operational reasons ACC reserves the right to cancel any provisional or confirmed bookings, or to make changes to bookings without notice, where required. Where bookings are cancelled by ACC and where payments for these bookings have already been made, customers will be refunded the full amount paid, regardless of when the cancellation is made. 

You will be able to request cancellations of bookings and provided you provide notice of cancellation within 7 days you will be entitled to a refund.

Options to pay in advance for each session will be available for those groups making block bookings. 

Before submitting a hire request, you will create a profile for yourself/the group/organisation you represent. As part of your profile creation you can upload relevant documents that can be applied against all bookings. Once you create your profile, a member of the team will apply the correct charging category against your hires.
